Pre-Christmas Reminders for Whānau
Kia ora e te whānau,
As we approach the end of the year, we have some important updates and reminders to share with you. These will help ensure smooth operations during the holiday season and prepare for key processes in 2025.
End of Late and Amended Mokopuna Attendance
This is a reminder about the upcoming changes to the submission of late and amended mokopuna attendance records. Beginning with the March 2025 funding round, whānau will no longer be able to submit late or amended attendance records after the deadlines outlined below:
March Funding Round (October to January): Last date to log attendance is 5th February 2025.
July Funding Round (February to May): Last date to log attendance is 5th June 2025.
November Funding Round (June to September): Last date to log attendance is 5th October 2025.
Late submissions cause significant delays in funding, which impacts the resources and support available for mokopuna, kaimahi, and whānau. To ensure your Kōhanga Reo receives funding on time, please:
Make sure your whānau has 2–3 people who are confident in entering attendance into the EDGE system.
Reach out to your purapura or Tari-a-Rohe if you need assistance.
For full details on these changes, you can view the earlier pānui here.
Please remember to complete your December 2024 Maramataka before you close for your Christmas break.
Holiday Pays
As we prepare for the holiday season, we remind all whānau and Kōhanga Reo to ensure that Holiday Pays are processed correctly and on time. This will ensure kaimahi receive their payments over the Christmas break without any delays.
Key Dates:
Ensure all holiday pays are entered and approved in your payroll system by the cut-off date provided by your payroll provider.
For those using Smartly, refer to the Smartly Christmas Payroll Guide for step-by-step instructions, including video guides.
Helpful Resources:
Watch the Christmas Pays Guide Video from Smartly here.
Additional resources and support are available on the Smartly Support Hub.
Failure to complete holiday pays correctly can result in delays for kaimahi and disruption to operations during this critical period. If you have questions or require assistance, contact Tari Matua or your payroll provider directly.
For full guidance on managing holiday pays, you can view the earlier pānui here.
Pay Parity Opt-In/Out and Change Variable % Forms
Whānau are encouraged to review and complete the Pay Parity Opt-In/Out and Change Variable Deduction Rate Forms if adjustments to your funding arrangements are needed. These forms can be accessed via the links below:
Submit these forms as soon as possible to ensure any changes take effect in the upcoming funding cycle.
Audit Reports due 28th February 2025
A reminder that Audit Reports for all Kōhanga Reo are due by 28th February 2025. Submitting your audit report on time is essential to ensure the release of March 2025 Funding. Please plan ahead to meet this deadline and avoid any disruptions to your funding.
By staying on top of these key processes, we can ensure a smooth end to the year and a strong start to 2025. If you have any questions or need support, please reach out to your purapura or Tari-a-Rohe for assistance.
Noho ora mai i roto i ngā manaakitanga o te wā.
Ngā mihi nui,
