Working together for a better Payroll System for Kōhanga Reo
Update from Te Kōhanga Reo National Trust: Hui with Smartly (Datacom) Team

We are pleased to provide an update following a recent hui between Te Kōhanga Reo National Trust and the Smartly (Datacom) team. This hui marks a significant step forward as we continue to enhance and refine the payroll system to ensure that all kaimahi and kaiako are paid correctly, in a timely manner, and with the utmost levels of data integrity and security.
Representatives from the Trust, including our Tumu Whakarae, Pay Parity specialists and data experts, met with Smartly’s executive team, including their CEO and key technical staff. The primary objective of the hui was to align our goals and ensure that the system is user-friendly and tailored specifically to meet the unique needs of our kōhanga whānau. Whilst we have made considerable progress in implementing the system, we acknowledge that there is still work to be done to fully meet the requirements of our whānau.
One of the critical outcomes of the hui was achieving greater clarity regarding the unique needs of Te Kōhanga Reo in relation to pay parity. It became apparent that, despite our advancements, some aspects of our requirements had been misunderstood. We are pleased to report that these misunderstandings were addressed, and Smartly now has a stronger understanding of how best to support us in achieving our goals.
To further strengthen that understanding we discussed some key enhancements such as improved file management capabilities and the ability to securely store important documentation, e.g. contracts and performance appraisals within the system. These improvements will enable our kōhanga to confidently manage their records without the concern of losing crucial documentation. Additionally, discussions around modifications of the Smartly system to ensure accuracy would be maintained when calculating pay rates based on qualification and experience of each kaimahi thereby supporting pay parity across all levels.
We are also pleased to note that communication channels between Te Kōhanga Reo National Trust and Smartly have been restructured to ensure clearer and more effective communication going forward. This will enable us to address any issues swiftly and ensure that our payroll system continues to improve.
Our overarching goal remains steadfast: to support our mokopuna by ensuring that our kaimahi and kaiako are well-supported and remunerated accurately and on time. We are grateful for the collaborative spirit demonstrated by the Smartly team and look forward to the next steps in this journey.
