Getting your email set up right – what you need to know
It’s great to see the orders coming through for the new Kōhanga Reo computers, laptops and tablets – keep them coming! We hope these new devices will make your everyday mahi easier.
This is a heads up for you about email migration – this is a process that Te Ara Hiko will step you through, after they have helped you set up your new device and log on through Okta for the first time.
Why are we doing this?
Moving email to the Cloud provides better security and means that you’ll be able to access your email from anywhere by logging in to Office365. It’s all part of providing modern, secure tools for Kōhanga Reo to support you in your mahi.
We’re taking a rohe-by-rohe approach to the email migration, in line with the rollout of the new devices, starting in June with Tāmaki Makaurau.
Here’s what you need to know:
The email migration process takes anywhere from 12 -72 hours to complete (depending on the size of your mailbox).
While the email migration is happening you won’t be able to send or receive emails. If you can delete old emails beforehand this will help to speed up the migration process and reduce the disruption to you and others trying to reach you.
Te Ara Hiko will be in touch through each Tari ā-Rohe to confirm the exact timing of your email migration.
Any emails coming into your inbox during the migration will not be received and will not be saved. So once your migration timing has been confirmed, please let the people who email you regularly know and ask them not to email you over the migration period.
Te Ara Hiko will confirm once the migration has been completed. Once it is done, you are good to go!
Important Tip for Kaiwhakarite: How to request a user-friendly Kōhanga Reo email name
The current format of our whānau email addresses, which are managed by the Kaiwhakarite, look like this: [email protected]
In the future, this email name format will be changing (mainly for the Trust’s purposes to ensure the correct Kōhanga Reo is contacted) and will look like this: [email protected]
If you would like the email name to be changed to something more user friendly, we can make your email address easier to remember and share with others by using a short version of your Kōhanga Reo name. For example, [email protected] can become [email protected]
It’s still the exact same mailbox and the Kōhanga Reo ID number will be used behind the scenes, but people emailing you will have a friendlier email address to use.
Kaiwhakarite or Tiamana can request a name change by using the Request renaming of Kōhanga Reo email form.
We’ll ask you to provide two options for a simplified email address in case your preferred option is already taken, given some of our Kōhanga Reo have similar names.
